Shared inbox or CRM: what does your team need to resolve?

When several people help the same customer, the issue may be deciding who replies, keeping context or following a sale. Those tasks do not all need the same tool. Start with an enquiry that changed hands and identify what was missing.

Choose based on the work that is still pending

Review five recent enquiries inside your own environment, without sending them to third parties. Include an existing customer’s question and a prospective sale. Note where the original conversation lives, who owns it, what should happen next and which information is updated twice.

Shared inbox or CRM: what does your team need to resolve?
OptionWhen it may be enoughWhat to check before choosing
Shared email or a native toolWork happens in one channel and the team can agree ownership and cover.Whether it supports assignment, visible status and access without shared passwords. Google Groups, for example, supports collaborative inboxes.
Shared inboxYou need to assign conversations, leave notes and keep context across people or channels.Actual channel support, permissions, history, handoffs and whether information must be copied elsewhere.
CRMAlongside conversations, you need contacts, opportunities, stages and a sales forecast.Whether the team will maintain the records and how they link to the original conversation. Not every CRM includes every channel.
HelpdeskYou handle incidents, support queues, priorities or response commitments. What a ticket represents, escalation, cover and resolution reporting, rather than first response alone.

Two situations, two different decisions

A team using one shared email address can start by agreeing assignment and cover. A team losing agreements across email and messaging needs to check how each solution links channels and preserves access rules. If sales stages matter too, consider a CRM; if incidents and resolution deadlines matter, consider a helpdesk.

Questions for a useful trial

  • Do you want to keep working in email or move to another application?
  • Which channels do you use today and which are future plans?
  • Can the next person see the agreement without another explanation?
  • What happens when the owner is absent or the customer changes channel?
  • What is charged: users, conversations, automation or provider usage?
  • Can you export your information and withdraw access when you stop using the tool?

Reference for collaborative email: Google Groups.

When keeping your current tools makes sense

If everyone can find the context, cover is clear and updates are not duplicated, do not change tools just to centralise screens. If a specific function is missing, compare it with available solutions. A simulated demo does not replace a real test of integrations, permissions or migration.

What you can evaluate with Lead Relay today

We are building a shared inbox for customer conversations, ownership and next actions. The demo lets you explore simulated connections, fictional teammates, assignment, notes and follow-up. It is not a full CRM or an operational account: real customer connections are not open yet.

There is no single winner. Compare the full cost and an everyday task with each option; a page listing integrations does not guarantee that every function of every channel is included.
