What happens next?

Review five recent enquiries handled by your team. You do not need to change tools or share customer information.

  1. Did it reach the place your team checks?

    Check that every enquiry appears in the inbox or record your team uses. If you cannot find it, review receipt before the sales process.

    Record: source and arrival time.

  2. Does it have an owner?

    “The team handles it” can leave an enquiry unanswered. Choose someone who knows they are responsible and agree who covers an absence.

    Record: owner and cover, where needed.

  3. Do you know whether someone replied?

    Distinguish an automatic acknowledgement from a reply that addresses the enquiry. Use observed response times to agree a realistic target for your opening hours.

    Record: last useful response or awaiting reply.

  4. Is there a next action with a date?

    “Follow up” does not explain what to do. Write a specific action: ask for missing information, send the scope or check whether a reply arrived.

    Record: action, owner and date.

  5. Is it clear when the enquiry closes?

    Record whether it is still pending, complete or no longer relevant. A reason for closure avoids repeatedly reopening a finished enquiry.

    Record: status and reason for closure, where applicable.
